Employment Position:    Administrative Assistant (AA)

Location:    Germantown, MD and College Park, MD

Project Enhancement Corporation (PEC), and its team of consulting firms, focus on providing Project Management and specialized technical consulting services in the areas of emergency operations, nuclear incident response, nuclear safety, worker safety and health, quality assurance, environment as well as materials and facilities disposition within the DOE and commercial power industry. The team is comprised of the following firms: PEC, Centaur and MAS, each offering its own comprehensive and competitive compensation and benefits package.

This position supports the Department of Energy’s (DOE) Office of Classification (OC) for DOE Office of Environment, Health, Safety and Security (EHSS) which is responsible for the classification review of all documents requested under statute or Executive Order prior to release. Contingent upon award of contract.

Responsibilities:

  • Individual provides secretarial and general administrative support to ensure timely, effective, and professional; responsiveness to customers. Primary duties include, but are not limited to, extensive typing (keyboarding), proof-reading, administrative quality control review, correspondence tracking, classified and sensitive document handling, telephone coverage, photocopying, scanning, filing, and retrieval (lifting and moving) of file and archive boxes containing documents.
  • Additionally, secondary duties include routine functions associated with file/mail rooms to ensure timely, effective, and professional products for customers.
  • Duties include, but are not limited to:
    • Maintaining a central files management system responsive to the OC staff
    • Maintaining all files in accordance with the current Records Inventory and Disposition Schedule (RIDS)
    • Sorting, packaging, and dispatching incoming and/or outgoing mail and internal departmental distribution, both classified and unclassified
    • Interfacing with the DOE Germantown mail room
    • Retrieval (lifting and moving) of file and archive boxes containing documents
    • Receiving and sending facsimile documents
    • Creating and maintaining an electronic classified and unclassified reference library of previously generated documents using optical scanners
    • Operating facilities in accordance with all applicable DOE and U.S. Government directives and policies/procedures.

Required Qualifications:

  • Individual must have a high school diploma (or equivalent).
  • The individual must have three (3) or more years’ administrative experience.
  • College-level education may substitute for professional experience, but this does not diminish the requirement for administrative skills.
  • Individual must possess the requisite typing (keyboarding/filing/clerical/basic computer graphics skills). Detailed knowledge of the most recent version of office correspondence software programs (Microsoft Office components) and the ability to use automated office systems including email and the Internet are required.
  • Knowledge of manual and electronic filing systems is required.
  • Ability to work independently with limited guidance.
  • Demonstrated ability to prioritize and manage multiple tasks and subject areas.
  • Ability to work Monday through Friday in office in Germantown, MD.
  • Able to travel up to 10%.
  • Ability to sit for extended periods and perform work in an office environment, including extensive use of computers.
  • DOE site access will require the qualified candidate be a U.S. citizen with an ACTIVE DOE Q security clearance or DOD TS equivalent. The candidate’s written consent to conduct a background check for the purposes of maintaining a security clearance will be required as a condition of employment.
  • Certain positions requiring a security clearance may require the periodic successful completion of a counterintelligence-scope polygraph examination.
  • Pre-employment and ongoing reviews and tests for the absence of any illegal substances will be conducted as a requirement for ongoing access to DOE sites. The candidate’s written consent to conduct such tests will be required as a condition of employment.

Desired or Preferred Qualifications:

  • Experience in the DOE complex.
  • Knowledge of DOE sites and types of operation.
  • Knowledge of computer graphics software and Federal Government records management requirements and procedures including RIDS is highly desirable.
